This collection notice applies to anyone who registers an expression of interest or enrols in non-award learning products offered through Sydney Short Courses.

Personal information we collect directly from you

The University of Sydney uses a range of technologies to provide non award short learning offerings (micro credentials, short courses, executive education, continuing professional development) to students, staff, alumni, businesses, governments and members of the public.

We collect personal information about you when you or your employer registers for a short course, including but not limited to:

  • Your name
  • Contact details
  • Date of birth
  • Gender
  • How you heard about our courses
  • Dietary, reasonable adjustment requirements and other medical information as required
  • Alumni information (if applicable and you register for discounted rates)
  • Payment details

We may also collect other personal information from you depending on the specific learning course you register for. Depending on the course this may include:

  • demographic information and parental consents for certain courses
  • your course activity, progress and outcomes
  • course surveys to assist improve our program delivery and services
  • information about your course participation and outcomes
  • to issue you a Statement of Completion or Micro credential digital badge upon course completion

Providing your personal information is voluntary, however if you do not provide all requested information, you may not be able to undertake and complete the short course offerings.

How we use your personal information

If you register your interest in a short course or continuing education with the University, we will use your personal information to send you details of short courses that may be of interest to you.

When you register as a student in a short course, we use your personal information in a range of the teaching technologies used by the University to enable you to access course content, participate in course activities, undertake assessments, engage with our academics and teachers and collaborate with others in your course.

We will use your personal information to help support you during your study. We will also use your information for analytical and reporting purposes and/or to assist improve our short course program delivery and services offered by Sydney Short Courses.

We will also use our ServiceNow enquiry management environment to support any questions you might have about our short courses or issues you might have with your enrolment and platform access. University controlled chat bots may be used to help provide you with rapid responses to questions.

Our website cookies will also collect information about you and how you engage with our online environment.

Personal information we share with third parties

Sydney Short Courses within The University of Sydney primarily uses the software product onCourse to manage its short courses, student enrolment and course payments. We will share your personal information with the onCourse vendor Ish, and its third-party service providers for the purpose of administering your access to and use of the short course offerings. More information about how Ish manages personal information is available via its privacy policy.

We use a third-party communication channel Clickatell to SMS you with information about short courses. Where these communications are for marketing purposes, you can opt out these messages at any time. Where they are a necessary part of your short course participation, you will continue to receive them until your short course with us is complete.

Where the University collaborates with a third-party organisation to offer and provide your short course, we will also share the minimum personal information necessary with our short course partner, to deliver the partnership course to you. Depending on the course offering, information shared can include your registration details, your course participation or demographic information for reporting purposes. If you have chosen to participate in a short course that the University runs with international partners, this means your personal information may be shared internationally. All University short course partners operate under contractual controls to require their protection of any personal information shared with them.

We will not share your personal information with anyone else without your consent unless we are authorised or required to do so by law.

How we store and secure your information

Your personal information is recorded in the University's Sydney student course registration systems and in the Sydney Short Courses management environments.

The University has security measures in place to safeguard personal information from misuse, and unauthorised access, use, modification or disclosure, including those in the University’s Cyber Security Policy 2019 and Acceptable Use of ICT Resources Policy 2019. We retain your personal information in accordance with our Recordkeeping Policy 2017.

We use reasonable safeguards to protect your personal information from unauthorised access, use or disclosure. We will retain your personal information for as long as required to meet the purposes for which it was collected, stored and in accordance with the State Records Act 1998 (NSW).

Your rights in relation to your personal information
